Finding your documents is now easier in My Everence for Organizations. Instead of searching in multiple locations, you can now access all your documents from a single document search experience.
This guide explains how to use the document search and provides helpful tips for finding the documents you need quickly.
Accessing Document Search
Begin by logging into My Everence for Organizations with your existing username and password - https://organizations.everence.com.
There are two options to access the revised documents page:
- Select “Documents” at the top of the screen. Note: You no longer need to select Charitable giving, Health insurance, Investments, or Retirement to view documents.
- Select any of the “View documents” links within a product tile. When using these links, you will be taken to the Documents page with the corresponding Category and Account filters automatically applied, making it faster to access specific documents.
After the Documents page opens, you will be presented with a variety of document filters located along the left side of the page, making it easy to narrow your results.
By default, documents created during the current year are displayed, with the most recently added documents appearing first.
Next we’ll review how to use each of the fields in the filter.
Product category
This filter displays the documents for a partictular category. This is a drop-down list showing the categories of products your organization owns. Options can include: Charitable Giving, Health Insurance, Investments, or Retirement. A product category selection is required, therefore when the “Clear all filters” link is clicked, the Category selection will default to the first category in the list.
When changing this field, the results will automatically apply to the document list. You do not need to select the “Apply filters” button.
There are times when a “Loading” message will appear. If you see this message, the page is refreshing data. It will disappear once loading is complete.
Please note - changing the “Category” field will automatically change the “Date” filter to “Year to date” and will immediately display related documents.
You may need to change the “Date” filter and click the “Apply filters” button to find your desired document(s). Date range options are discussed in more detail later in this document.

Location/Entity
This filter is useful to Organization accounts with multiple locations or entities. This is a drop-down list specific to your account and will list all associated locations or entities. If you only want to see documents from a particular location or entity, you can select it from the drop-down menu and select the “Apply filters” button. Note: Location/Entity is not displayed on the table of returned documents, but adding this filter does display documents for a particular location. You can see this in the example below as the account/groups change on the documents.

Document name
This field searches through document names as you type to suggest names or types of documents to filter against. If you find the name of the document you are searching in the list, you can select it, and the list will automatically return matching results.

- To see all documents again, select the “Apply filters” button:
If you are unable to find the name of the document you are searching for, you may adjust the Date filter to a “Custom” date range to assist in locating that document. Narrow the range to find fewer documents, or expand the range to find more.
Recommended search terms: Tax, 1099, 5498, Performance, or any other document name. If you are looking for Health Membership Cards, you can enter the employees first or last name and that specific membership card will be returned.
Account/Group
This limits the search for a particular account or group. This column is displayed on the table. The options in this menu change depending on the “Product category” selected. You may select an account or group from this drop-down, then select the "Apply filters” button to search for documents from that Account/Group.

Date
The “Date” filter specifies the range of document dates that will be returned. Date options include: All, Last 30 days, Last 90 days, Last month, Last quarter, Last year, Year to date, and Custom.
Please note – the “All” date option by default is limited to documents for the past 3 years. This is purposeful to reduce the amount of time it takes to load documents results. To locate documents older than 3 years, or to narrow the range of documents for your organization, use the “Custom” date field.
To use this filter, select the “Date” drop-down and select your desired range. After selecting a date range, select the “Apply filters” button.

Use "Custom” dates to limit the number of documents to a particular range to help filter out undesired documents. You will be required to enter both a “Start date” and “End date” to perform this search. You can enter a date by typing directly into the filed(s), providing two digits for the month, two digits for the day, and 4 digits for the year. For example, January 1, 2025 could be typed into the field as 01012025. You can also enter a date by selecting the calendar icon. A calendar will open which will allow you to select the date.
